More than 700 guests gathered to celebrate Jacques and Lleya at Hilton Cleveland Downtown.
Seven hundred guests. One missing toast. And a secret route through the hotel that only the bride and groom got to see.
After more than 700 celebrations, people ask me which wedding was the biggest. The answer is easy: Jacques and Lleya’s, with more than 700 guests at Hilton Cleveland Downtown. It was the largest wedding I’ve ever planned, filled with plenty of work and so much fun.

A Wedding That Filled a Hotel
Some weddings fill a room. Jacques and Lleya’s filled a hotel.
At 100 Lakeside Avenue East, Hilton Cleveland Downtown puts your celebration close to Lake Erie and the heart of the city. For a wedding this size, having room to gather—and places for guests to settle in between events—made all the difference.
With 600 guest rooms under the same roof, out-of-town family could check in, dress, celebrate, and head upstairs at the end of the night without needing another car ride.

The Toast That Almost Wasn’t
The bride’s mother is a true music lover and a member of the Rock & Roll Hall of Fame board. She even stayed in the Hilton’s Rock Hall room. And she had painstakingly written a toast built entirely around songs.
Then, right before the toasts, her notes went missing. They had been cleared away in the bustle of a 700-guest reception.
The Hilton team jumped right in, and together we tracked them down just in time. It was stressful for a few minutes, and her toast was worth every second.

Janet’s Insider Tip: Always keep a backup of every toast. I ask everyone giving a speech to send me a copy ahead of time, just in case.
The Secret Route
With that many guests, the bride and groom could barely take a step without someone wanting to say hello.
So I took them behind the scenes, through the kitchen and the hotel’s underground hallways. There, they could catch a few quiet moments together and move between spaces without being stopped at every turn.
Guests never see that side of a wedding, and it’s one of my favorite secrets of a big hotel celebration.

Inside Hilton Cleveland Downtown
The Hilton’s Superior and Hope Ballrooms offer options for large celebrations. The right space depends on much more than your guest count: dinner seating, a dance floor, entertainment, and service areas all need room in the plan.
Ask the events team to walk you through catering and bar packages, ceremony options, and the spaces available for each part of your celebration.
Then there’s Bar 32, the rooftop bar on the 32nd floor, with views of Lake Erie and the city. I love it as a place to consider for a welcome drink or an after-party. Confirm event availability and arrangements with the hotel; Bar 32 is for guests ages 21 and older.

Traditional or modern? Both can work here. Go classic with candlelit tables and lush florals, or lean modern with clean lines and a bold palette inspired by the lake and skyline.
The Perfect Home Base for Rachel and Taylor’s Wedding Weekend
Not every Hilton wedding weekend happens in the ballroom. Sometimes the Hilton is the place everyone comes home to.
For Rachel and Taylor, the celebration moved all over Cleveland:
Friday: A rehearsal dinner at Marble Room.
Saturday: Their wedding at Truss.
Saturday night: An after-party at Bar 32.
Sunday: Brunch at the Shoreby Club.
What a weekend! The Hilton was home base for it all. With a 50-room block, guests had a comfortable place to settle in between celebrations.
After the wedding at Truss, the party continued at Bar 32. For guests staying at the Hilton, their rooms were just an elevator ride away when the evening ended.

How Many Guests Fit?
The Hilton has spaces suited to large celebrations, and Jacques and Lleya’s wedding showed me that a guest list of more than 700 can still feel warm and personal.
Your wedding capacity will depend on the ballroom and layout you choose. Ask for a floor plan that includes your tables, dance floor, band or DJ, and any additional installations before settling on a final guest count.
It can also be worth considering for a smaller celebration, especially when many guests are traveling in and want one convenient home base.

I’d put Hilton Cleveland Downtown on the shortlist for couples who want:
Space to explore a large wedding guest list.
A wedding weekend with accommodations and event spaces at one hotel.
A downtown location near Lake Erie.
A hotel events team to help coordinate food, bar, and service arrangements.
The possibility of a 21-and-over after-party at Bar 32.
What to Know Before You Book
A wedding this size runs on teamwork. The Hilton staff was wonderful to work with, and when something went sideways—like a missing toast in a room of 700—they jumped in to make it right.
Arrivals deserve their own plan. In my experience, valet can be slow when hundreds of guests arrive at once. Coordinate arrival times and consider a car service or shuttle for guests traveling between venues.
With hundreds of guests, room blocks, timelines, and speeches all need attention. That’s where an experienced planner makes the biggest difference: thinking through how the entire weekend will feel for your guests and for you.
What to Ask During Your Tour
Which ballroom and layout fit our guest count, dance floor, and entertainment?
What do the wedding packages include for food, bar, and service?
Can we hold the ceremony on site, and in which space?
What are the room-block terms, and when is the cutoff?
Are there specialty suites for the couple or family?
Can Bar 32 accommodate our welcome party or after-party, and what arrangements are required?
How will valet, parking, and transportation work on our wedding weekend?

My Final Take
Jacques and Lleya’s wedding was the largest I’ve ever planned, and it’s still one of my favorite stories to tell.
A song-filled toast that almost went missing. A mother of the bride staying in the Rock Hall room. A bride and groom slipping through underground hallways for a quiet moment together.
More than seven hundred guests, and it still felt personal. And for couples like Rachel and Taylor, the Hilton proved just as useful as a home base, with the party ending at Bar 32. That’s the magic of the right venue and the right team.
